Project Overview: I’m a Business Development Manager and Credit Lead at a private lender based in Australia. We want to automate and structure our loan process inside PipeDrive CRM so deals move cleanly through defined stages, ownership transfers automatically between team members, and follow-ups happen without manual effort. The goal is to turn our loan process into a predictable, trackable system that lets the team focus on deals while the CRM handles reminders, handovers, and communication triggers. Project Scope: 1. Workflow Design Translate our existing loan process into PipeDrive stages with logic-based automation. Key stages include: Deal Received Deal Setup & Product Check Approval Sent Broker Follow-Up Valuation Ordered Docs Received RAF Approval Legals Out Settlement Each stage should: Automatically assign to the correct team member (Person 1, 2, or 3). Trigger specific tasks or reminders. Generate or send templated emails/SMS at certain time intervals (e.g. 48-hour broker follow-ups). 2. Automation Setup Build using PipeDrive Automations or connected tools (Zapier, Make, ClickSend, etc.) for: Task creation and reassignment. Broker and client follow-up messages. Status notifications for management. Pipeline reporting dashboards. 3. Dashboard & Reporting Create a master dashboard for daily oversight, showing: Total deals per stage. Approvals waiting for response. Valuations outstanding. Settlements due this week. Performance by team member. 4. Integration Optional: Link with Gmail for email tracking. Link with ClickSend/Twilio for SMS. Link with Google Sheets for summary exports.
