The goal of this system is to provide real-time visibility and control over every customer project, from sales confirmation to final delivery and warranty. This is not a reporting tool. It is an operational decision system that allows management to immediately identify: – where each project is in the pipeline – which department is responsible – which projects have delays or risks – what action must be taken CORE PRINCIPLE Each project flows through a fixed sequence of departments (stages). A stage is only activated when the project officially reaches that department. Before that, the stage remains blank (no status, no color). Each stage has its own: – Trigger (handover date) – Planned date – Actual completion – Status (auto-calculated) – Delay Reason (comment field) – Action / Comment (free text for management) STATUS LOGIC (STANDARDIZED ACROSS ALL STAGES) The system automatically assigns a status based on data input: Blank → Project has not reached this department Green → Completed or running on time Orange → Issue exists but a plan is in place (within deadline) Red → No plan OR deadline missed Status Decision Logic – If Trigger Date is empty → BLANK – If Completed = YES → GREEN – If Planned Date exists and Today ≤ Planned → ORANGE – If Planned Date is missing → RED – If Today > Planned Date and not completed → RED PROJECT FLOW (DEPARTMENTS ORDER) 1 Sales Confirm 2 Accounting 50% (Deposit Gate) 3 Cutting List 4 Stock Check 5 Purchase (only if materials missing) 6 Stock Received 7 Production 8 Factory QC 9 Delivery 10 Accounting 40% 11 Installation 12 Sales QC 13 Accounting Final 10% 14 Warranty / Feedback
