I’m looking for a quote to build a fully automated scheduling and routing system for my sod-installation business as we scale toward operating 10+ trucks. Below is the full scope of what I need included in the build: Intake Forms • Create separate residential and commercial intake forms • Ensure both feed cleanly into a unified data structure Google Sheets Architecture • Build a master Jobs_Log sheet with all required fields • Create supporting sheets for crews, farm availability, and constraints • Set up data validation and error-proofing Geocoding + Job Creation • Automate address validation • Generate unique JOB_IDs • Insert new jobs into Jobs_Log with proper status handling Weekly Optimization Logic • Assign jobs to optimal days based on region, crew availability, job type, and farm constraints • Produce a flexible, 7–10 day rolling schedule Nightly Optimization Logic • Build a “final routing” workflow that runs every night • Optimize next-day routes, time windows, and job sequencing • Lock scheduled jobs while still allowing major-efficiency overrides Routific API Integration (Python) • Build a Python script to generate Routific payloads • Map all jobs, crews, durations, and constraints into the payload • Process the returned routes and write results back to Jobs_Log Crew Assignment + Timing • Auto-assign crews based on route optimization results • Apply arrival times, end times, and drive-time calculations Google Calendar Sync • Create calendar events for each crew • Prevent duplicates and handle updates cleanly • Maintain accurate real-time scheduling • Calendar will function as the single pane of glass for dispatchers • Any changes made in calendar must fully reverse-sync back into the backend/Jobs_Log Weather & Delay Logic • Add automated rescheduling workflows for rain delays or cancellations Status Automation • Move jobs through statuses (Pending → Scheduled → Optimized → Completed) • Ensure all transitions happen automatically Error Handling & Stability • Add fallback logic, notifications for failures, and system safeguards • Ensure the system is durable and scalable for 10+ trucks
