I want to run my sales inbox on Outlook while keeping every record in Odoo fully up-to-date, so I need a set of n8n workflows that sit between the two systems and take care of the repetitive data entry for me. Core flow • When a new message lands in a specific Outlook folder, the workflow must check Odoo. If the sender is missing, a contact is created; if a contact exists, the flow simply links the email. • The same trigger also opens (or updates) a Lead, capturing the email body and attachments. • From Outlook I should be able to send a quick reply that automatically stores itself in the related Odoo thread. Quotation handling The moment a Lead reaches the “Qualified” stage, n8n should generate a draft Quotation in Odoo and email it back through Outlook, using the account’s normal signature and any PDF template I select. Further replies in that thread have to be logged to the corresponding Odoo opportunity and move the stage forward (e.g. Sent ➜ Negotiation ➜ Won/Lost). Update sync Whenever I update a stage directly inside Odoo, that change needs to appear in the Outlook category line or subject prefix so the team always sees the current status without opening Odoo. Deliverables – Complete n8n workflow file(s) ready to import – Any custom Odoo or Outlook app registrations needed, with clear setup instructions – A short Loom or written guide showing how to change folders, pipelines or email templates later I already run Odoo 18 (self-hosted) and Outlook 365 as im upgearsing to odoo 19 soon; you may use the official REST APIs, Microsoft Graph and the Odoo JSON-RPC endpoints—whatever gives the most stable result. No interface design is required, just rock-solid automation that I can test end-to-end.
