I want a purpose-built Airtable base that lets my project managers track every $ that flows through a job while giving me, as the owner, a clear tick-off control for supplier payments. What the base must do • Cost management and calculations – an input for estimated cost, an input for actual cost, and an automatic profit-margin field that updates in real time. • Supplier quote storage and attachments – each cost line needs an upload field (PDF, image, email printout) so the original quote is always one click away. • Payment tracking – a simple checkbox or single-select that I can toggle when a quote has been paid; when selected, it should stamp the payment date automatically. Financial insight I rely on profit-margin reports, so the system should roll up margin data by project, client, and supplier, then feed those figures into a master “Portfolio Profitability” table displayed as clear, filterable spreadsheets inside Airtable (Airtable Interfaces or synced Google Sheets are fine as long as they stay live). No extra graphs are needed—just detailed, drill-down tables I can export or share. I will provide sample projects, chart-of-accounts tags, and our current spreadsheet. You’ll migrate that data, set up sensible views (per project manager, per supplier, overdue payments, etc.), and document the workflow so the team can hit the ground running. Acceptance criteria • All fields, rollups, and formulas tested with my sample data and returning correct margins. • At least three permission-based interfaces: PM view, Owner finance view, Supplier documents view. • Clean, intuitive layouts that match Airtable best practices (no hidden surprises in the backend).
