We are looking for an experienced Airtable systems builder (not a beginner) who has built internal operating systems, CRMs, or multi-step automation workflows that integrate billing and payments. I need an end-to-end internal operating system for CRAFTD Rx built with Airtable at its core. Today our team operates across QuickBooks, spreadsheets, GoFormz and Spruce, and none of these systems communicate with each other. The goal is to replace this with one cohesive, scalable workspace that can be rolled out in phases over the next four to six weeks. PHASE 1 (first 2–3 weeks) The first milestone will focus on building the core order submission and routing system: • Rep-facing order submission interface within Airtable • Order routing logic (pharmacy selection based on pricing, availability, or predefined rules) • Pricing and margin tracking per order • Rep attribution for commission tracking • Compliance flags and payment status tracking • Automated invoice creation pushed to QuickBooks • Stripe ACH payment integration PHASE 2 (immediately following Phase 1) Once the core workflow is validated, we will expand into: • Multi-vendor product catalog built in Airtable (scalable and easy to maintain) • Rep dashboard (Airtable interface and/or Retool for more advanced views) • Commission calculator • Order tracking and status notifications TECH STACK Airtable will serve as the primary system of record and interface. Retool (or similar) for dashboards if needed. Make or Zapier for automation and orchestration. QuickBooks and Stripe for billing and payments. If you recommend alternative no-code or low-code tools that improve scalability or speed, I am open to suggestions. MUST-HAVE EXPERIENCE • Airtable relational database design (at scale) • Automation tools such as Make or Zapier • QuickBooks API integrations (invoicing and payment syncing) • Stripe integrations, specifically ACH workflows • Experience building internal tools or operational systems (not just websites) WHAT I’D LIKE TO SEE FROM YOU 1.
